People & Culture Coordinator (Men's RWC 2027)

Rugby World Cup Australia is seeking a People & Culture (P&C) Coordinator to join our Sydney office, reporting directly to the Head of P&C. In this role, you will deliver high‑quality, end‑to‑end HR support across the employee lifecycle, ensuring smooth onboarding, offboarding, payroll preparation, and HRIS data management while maintaining accurate and confidential employee records. As a key point of contact for employees and managers, you will provide timely, customer‑focused guidance on HR policies and processes.
The role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment. Working closely with the broader HR team, the P&C Coordinator supports recruitment logistics, induction programs, training administration, and a variety of HR projects. With a proactive, solutions‑oriented approach, you will contribute to a positive employee experience and the effective delivery of people operations across the organisation.
Employment Contracts & Compliance
- Draft, issue, and manage employment contracts and associated documentation, ensuring accuracy, compliance, and timely delivery.
Onboarding & New Starter Administration
- Coordinate end-to-end onboarding activities for new starters, including induction scheduling, system access provisioning, and the setup of payroll, HRIS (SuccessFactors), and IT profiles.
- Manage the staff induction program to ensure new employees experience a smooth and informative transition into the organisation.
Offboarding & Employee Lifecycle Management
- Oversee the full offboarding process, including drafting exit documentation, coordinating final payroll actions, and notifying relevant internal stakeholders.
- Maintain accurate and up-to-date employee files in both physical and digital formats, ensuring all documentation is complete and compliant.
HR Operations & Employee Support
- Provide high quality customer service to employees, managers, and key stakeholders by responding to HR queries and guiding them through policies and processes.
- Monitor and administer the probation review process, including sending system reminders and following up with managers on required actions.
- Manage training course bookings and support learning and development coordination as required.
- Providing support in organising HR events, activities, and engagement initiatives
- Deliver ad hoc HR administrative and project support to ensure smooth operational delivery across the HR function.
Payroll & HRIS Administration
- Prepare, review, and submit monthly payroll data, ensuring accuracy of all employee changes, allowances, deductions, and entitlements.
- Produce payroll related communications, including salary change letters and updates to terms and conditions.
- Maintain up to date HRIS and payroll data, ensuring records are accurate and aligned across systems.
- Support regular and ad hoc HR reporting requirements by gathering, validating, and presenting people data.
- 3 years’ experience as a P&C/HR Coordinator, delivering end-to-end support across onboarding, offboarding, payroll administration, and core HR operations.
- Strong understanding of HR policy administration, including disciplinary and grievance processes, alongside a solid knowledge of key employment legislation and employee rights.
- Experienced user of HR Management Systems (e.g., SAP SuccessFactors), with proficiency in maintaining accurate HR data, HR databases, and ensuring compliance and confidentiality.
- Highly proficient in Microsoft Office (Word, Excel, Outlook, Teams) with strong written and verbal communication skills for effective stakeholder engagement.
- Demonstrated ability to maintain strict confidentiality, work under pressure, manage competing priorities, and consistently meet deadlines in fast paced environments.
- A collaborative team player with excellent planning, organisation, and attention to detail, capable of managing multiple workstreams simultaneously.
- Possesses a proactive, adaptable, and solutions focused mindset, able to navigate ambiguity and solve complex issues using logical and creative approaches.
