Program Coordinator, National Competitions & Rugby Operations

Moore Park, Sydney

Rugby Australia (Rugby AU), the governing body of Rugby Union in Australia, is looking for an enthusiastic Program Coordinator, to coordinate the planning and delivery of National Competitions conducted by Rugby AU including but not limited to:

  • Super W
  • Junior Gold Cup (U15s)
  • Junior Rugby Championship (JRC) U16s
  • U18 Schools and Academy games and Championships
  • U19 Rugby Championship (URC)
  • Oceania U20 Championships
  • Junior Wallabies matches
  • National Youth 7s Championships
  • Super A competition
  • Super W Under 18s competition
  • Other competitions and events that may arise

The other primary element of the position is to coordinate the delivery of rugby operational services and logistics for international teams and matches conducted by Rugby AU including but not limited to:

  • Wallabies Domestic Test Matches
  • Wallaroos Domestic Test Matches
  • In-bound Tour Matches
  • HSBC Sydney 7s (or equivalent)
  • Other events that may arise

Key Responsibilities of the Role:

National Competitions

  • To support the Manager, National Competitions & Rugby Operations to manage all national competition operations and ensure detailed event planning is successfully executed
  • Event planning including the development and management of key match day tools including event plans, run sheets, medical plans, venue delivery schedule, accreditation, parking, catering and others, as well as all pre-planning and logistics for multi-day and residential championships
  • Attend internal and external event planning meetings and maintain actions and issues register
  • To capture, source and deliver operational requirements through liaison between RA departments, Teams, venue operators, and external contractors
  • In conjunction with the Manager, National Competitions & Rugby Operations, coordinate venue service requirements such as catering, spectator services, venue security, and accreditation etc. and work with venue operators to ensure delivery
  • Liaison with key service providers and event partners as they relate to operations (signage, broadcasters, citing and judicial, caterers, audio visual suppliers, medical, sports anti-doping services)
  • Appoint and manage rugby specific event day staff (both paid and volunteer) at national competitions including Teams, match managers, medical staff and specialists, ball boys, ball boy coordinators, timekeepers, and anti-doping
  • Coordination of game day Rugby platforms (Rugby Xplorer or similar) to support participants and other groups relying on accurate and timely information

Rugby Operations

  • Coordinate inbound team planning, logistics and management
  • Work with the Manager, National Competitions & Rugby Operations to achieve and maintain productive, progressive, and harmonious relationships with key stakeholders
  • Assist in the preparation and management of inbound team budgets
  • Coordinate the rugby logistics and match day operations of inbound international teams for at domestic Test matches (Wallaroos and Wallabies), Sydney 7s and other events from time to time
  • Working with the Manager, National Competitions & Rugby Operations, coordinate the travel needs of all inbound international teams and their management including the facilitation of all flights, accommodation, and ground transfers both domestic and international
  • Coordinate the requirements of inbound international team in relation to match day including, transport, medical requirements, referee meeting and dressing room requirements
  • Assist in the implementation and management of all rugby services elements of Sydney 7s.
  • Where required, assist in the event planning process.

To be successful you will need:

  • Tertiary and/or other relevant qualification
  • A demonstrated ability to manage multiple tasks in a pressure environment
  • Strong communication (verbal and written) and relationship management skills
  • Ability to demonstrate conflict resolution skills
  • Exhibit flexibility and a team focused attitude
  • An extensive knowledge of and an ability to utilise Microsoft application
  • Substantial experience in planning for delivering events
  • Demonstrable success in event management and operations for a sporting organisation
  • Previous experience in managing a financial budget
