Multi-Factor Authentication Login
- Rugby Xplorer has introduced multi-factor authentication, which means that users will need to login to their Rugby Xplorer Portal and/or Admin Portal with both their password and a verification code that is sent to their email or mobile. This will be live on Monday 29 May.
- All primary users with admin permissions will automatically be required to complete multi-factor authentication. However, all users, regardless of user permissions, have the option to turn on the multi-factor authentication.
- By default, the verification code will be sent to the user’s email connected to their Rugby Xplorer account. Remember to check your junk or spam email if you don’t receive the email immediately.

Rugby Match Day App
- Have all your team admins updated their Rugby Match Day app?
- Team admins can update jersey numbers and positions as required, when the team list is ‘submitted’ if there are any duplicates an error will appear.
- Match timings of 60+ minutes will display in the feed, for example, a try entered at 61 minutes will display as ‘Try 61:00’.
- Fixed issue with scrolling for players when entering scoring events or movements.
- All competitions require a coach with a Current Smart Rugby accreditation prior to submitting the team list. Coaches that do not have a current Smart Rugby will receive an error and cannot be added.
Size for Age Dispensations
- Size for Age Dispensation has been updated and Rugby Xplorer functionality aligns with the policy changes. Policy is available here.
- Size for Age Member Assessment email notification has been updated.
- Size for Age Consent Form requests the age level the player wishes to play in for this season.
- Member management dispensation reasons now includes ‘remain in own age grade’ when dispensation has been applied.
- When assessing coaches ‘submit’ the Size for Age Dispensation Assessment Form the players will disappear from their list, similar to Age Grade Dispensations.
- Club admins will be able to view Size for Age Dispensations in their Member Assessments & Consent Forms page. Note, club approval is not required and once the consent form has been submitted by the player it will go to the competition manager to assign an assessing coach.
Member Assessments & Consent Forms
- All association admins will receive an email when a club has approved a consent form for dispensation. If the club has declined the consent form the process stops.
- Member Assessments & Consent Form page updates include:
- ‘Club Consent Status’ and ‘Assessing Coach Name’ columns have been renamed.
- ‘Assessing Coach Name’ column can now be sorted by clicking on the heading.
- All names will be stored in the database with a capital for the first letter and lower case for the next letters for both the first and last name. This will assist with sorting of name columns.
- Member Assessment & Dispensation Report has been updated to have the responses in the correct columns.
Admin Portal
- User management shows the created at and modified at fields.
- Team List Report shows current season teams only.
- Club admins can delete team/s that have not been allocated to any competitions and have no players/non-players added into the squad.
- Registration Clearances page has been updated to include both the From Club(s), To Club and Created Date. Plus when you review an individual clearance request there is an example note provided.
Rugby Xplorer Credit & Refund Requests
- Registration Refund Requests page now includes an entity status column. This will allow your entity to filter by your status on each refund. The ‘status’ column still contains the overall status of the refund.
- Please ensure your Rugby Xplorer entity card is up to date and has sufficient funds to process refunds. There are a few “approved” refunds unable to be processed due to entity card errors.

Domestic Tour Applications
- Any clubs/teams who are planning to travel outside their Member Union for one-off matches are now required to complete the Domestic Tour Application form, available on the Tour Applications webpage.
- This form simplifies the process of a Member Union permitting a team to travel interstate and notifies the other Union of the upcoming planned match (for sanctioning purposes).
- Note, this is not required for teams who are part of regular competitions across state borders, or when a state representative team is attending a national competition.
